JOB OPENING: Operations Director
Ugat ng Kalusugan is seeking an Operations Director who will be responsible for overseeing the organization’s operations, which include Human Resources, Administration, IT, Procurement, and other operations-related functions. This role will ensure smooth day-to-day operations and implement strategies to enhance organizational efficiency. The Operations Director will work closely with the Executive Team and department heads to align operational functions with organizational goals, ensuring compliance with policies and regulatory standards.
This position is Palawan-based.
Responsibilities
The Operations Director responsibilities include but are not limited to:
Strategic Planning and Leadership:
- Develop and implement strategic operational plans in collaboration with the Executive Team to support the organization’s long-term growth and sustainability.
- Review and adjust operational strategies regularly to align with changes in organizational goals and the external environment.
Human Resources (HR):
- Ensure HR policies, strategies, and initiatives align with the broader organizational goals and are compliant with labor laws, regulations, and industry standards.
- Collaborate with program directors to assess workforce needs and ensure the organization has the right talent in place to meet current and future demands.
- Ensure the organization has effective performance management systems, including clear expectations, regular evaluations, and mechanisms for feedback and career development.
- Oversee the development of key performance indicators (KPIs) related to employee productivity and engagement through the use of Clockify.
- Develop compensation structures and benefits packages to ensure they are competitive and align with budgetary constraints.
- Manage the annual submission of staff withholding tax on compensation and its alphalist to the BIR.
- Lead the organization’s Staff Committee and support staff professional development planning.
- Manage the performance and tasks of the HR Manager & HR Officer.
Administration:
- Develop and implement strategies for office maintenance and facility management, ensuring overall operational efficiency and compliance with safety standards.
- Oversee and approve the management of monthly bills and rental payments for the office, ensuring timely and accurate financial handling.
- Establish and enforce policies for the management and maintenance of office fixed assets, ensuring accuracy of inventory records and adherence to preventive maintenance protocols.
- Establish and monitor policies and procedures for reviewing and approving staff travel bookings and overseas travel per diem calculations to ensure accuracy and compliance.
- Manage the performance and tasks of the Admin Officer, Admin Assistant, and Driver.
Compliance:
- Ensure regular and timely compliance with SEC requirements, BIR registration, BIR Tax Forms, government permits, licenses and accreditations, updated books, and non-HR-related mandatory government payments.
- Ensure that annual registration process and other reportorial requirements for the office are carried out and compliant with Philippine law.
Inventory Management:
- Lead the strategic planning and coordination with relevant departments to forecast inventory needs and optimize stock levels, ensuring alignment with organizational objectives and operational efficiency.
- Oversee regular inventory audits to reconcile discrepancies and manage the disposition of obsolete or excess fixed assets, ensuring accuracy and efficiency in asset management.

- Develop and direct the implementation of inventory management systems or tools to enhance process efficiency and ensure effective inventory control.
- Develop and implement strategies to monitor and track inventory levels, ensuring optimal stock availability and preventing shortages.
IT Management:
- Oversee the organization’s IT infrastructure, including system maintenance, troubleshooting, software updates, and data security.
- Lead or develop the organization’s IT strategy that will utilize flexible and scalable resources and guide the use of AI.
- Ensure proper usage and functionality of the organization’s tools, equipment, and IT resources.
- Collaborate with IT vendors for upgrades and support services.
- Implement IT-related policies for secure and efficient operations.
Procurement:
- Set strategic policies for the procurement process and ensure effective management of purchase orders and timely delivery of goods and services.
- Develop and oversee supplier evaluation processes and strategies to ensure competitive pricing and high-quality products or services are obtained.
- Lead the negotiation of contracts and agreements with suppliers and service providers to secure favorable terms and conditions.
- Establish and maintain robust systems for recording and managing purchase, contract, and pricing information to ensure accuracy and compliance.
Job Qualifications
Required:
- Bachelor’s degree in management, administration, or a related field.
- Minimum of 5 years of experience in operations management, including HR and IT functions.
- Strong leadership, problem-solving, and decision-making skills.
- Excellent communication and interpersonal skills, with the ability to collaborate across departments.
- Proven ability to manage multiple priorities, meet deadlines, and maintain a high level of organizational efficiency.
- Fluency in English and Tagalog.
Preferred Skills:
- Experience with procurement and supplier negotiations.
- Knowledge of IT infrastructure and software systems.
- Familiarity with Clockify, Trello, and other operational tools.
- Experience in policy development and compliance training.
