Roots of Health is seeking an Executive Assistant. Reporting to the Executive Director, the Executive Assistant (EA) plays a vital role in enhancing the effectiveness of Roots of Health’s leadership team. This position ensures seamless coordination across executive priorities by providing high-level administrative and strategic support to the Executive Director—and, as needed, to the Deputy Director and Executive Committee. The EA is instrumental in managing schedules, streamlining communication, organizing key meetings, and supporting board engagement and organizational initiatives.

This role requires a highly organized, emotionally intelligent, and solutions-focused professional who brings discretion, initiative, and a proactive approach to a fast-paced nonprofit environment. The EA must possess excellent communication skills and a strong alignment with Roots of Health’s values of empathy, integrity, empowerment, innovation, and excellence. Through thoughtful coordination and support, the Executive Assistant helps maximize leadership capacity and ensure the organization’s mission is advanced efficiently and effectively.

This is a full-time position working in the Philippine timezone (GMT +8), with a six-month probation period. Salary is commensurate with experience. Benefits include but are not limited to, PhilHealth, SSS, Pagibig, HMO coverage, 10 paid vacation days, 10 paid sick leave days, 5 days paid leave for Holy Week, and 10 days paid leave between Christmas and New Year. 

Responsibilities

Email, Communication & Information Management

  • Monitor and manage the Executive Director’s inbox, draft high-quality responses, and ensure timely communication and follow-up.
  • Triage messages to reduce noise and surface high-priority items.
  • Draft, edit, and format a wide range of documents including reports, donor communications, presentation decks, internal memos, and external correspondence.

Executive Support & Calendar Management

  • Own and protect the Executive Director’s calendar, prioritizing high-value engagements and ensuring strategic use of time.
  • Anticipate scheduling conflicts, buffer transitions, and manage meeting logistics across multiple time zones.
  • Provide seamless scheduling and administrative support to the Deputy Director and other Executive Committee members as needed.

Meeting Coordination & Follow-Up

  • Coordinate virtual and in-person meetings with internal teams, partners, donors, and board members, ensuring preparation materials and agendas are in place.
  • Take clear and concise minutes, distill key insights, and track action items to drive execution and accountability.
  • Maintain a system to track and follow up on critical decisions and deliverables.

Board of Directors & Governance Support

  • Provide administrative and logistical support to the Board of Directors, including scheduling meetings, preparing materials, taking minutes, and supporting governance documentation.
  • Schedule regular check-ins with board members and the ED

Project & Deadline Management

  • Track organizational and executive-level priorities, deadlines, and key deliverables, supporting the ED and leadership team in staying aligned and on track.
  • Manage short- and long-term calendars for internal planning, including board cycles, reporting deadlines, donor engagement, and key initiatives.

Operational & Administrative Efficiency

  • Maintain organized filing systems and knowledge management tools, ensuring quick access to key documents and records.
  • Liaise with finance and operations teams to manage travel logistics, expense tracking, reimbursements, and vendor coordination.

Confidentiality & Professionalism

  • Handle all sensitive and confidential information with the highest level of integrity and discretion.
  • Serve as a trusted point of contact and gatekeeper for the ED with both internal and external stakeholders.

Special Projects & Strategic Initiatives

  • Provide research, coordination, or logistical support for special projects, partnerships, or initiatives led by the ED.
  • Anticipate leadership needs and proactively offer solutions or resources to maximize impact.

Job Qualifications

  • At least 3 years experience as an Executive Assistant, Administrative Officer, or in a similar role supporting senior leadership
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize under pressure.
  • Strong organizational and time management skills with excellent attention to detail
  • Strong written and verbal communication abilities in English and Filipino
  • High emotional intelligence, professionalism, and discretion.
  • Proficiency in Google Workspace, Microsoft Office, Zoom, and other relevant platforms.
  • Comfort working independently and across cultures and time zones.
  • Experience working with nonprofit organizations, health or gender equity-related initiatives or development management programs is a plus
