Roots of Health is seeking an Administrative Assistant who will assist our Administrative Officer in ensuring smooth and efficient office operations. The Admin Assistant will support administrative processes, maintain office facilities and assets, handle procurement and inventory, and assist with compliance requirements. This role plays a key part in streamlining workflows and ensuring that administrative functions effectively support the organization’s mission.

This is a full-time position in Puerto Princesa City with a probation period up to six months, depending on performance. Salary is commensurate with experience. Benefits include PhilHealth, SSS, Pagibig, health insurance, 10 paid vacation days, 10 paid sick leave days, 5 days paid leave for Holy Week, 10 days paid leave between Christmas and New Year, and a birthday leave.

Responsibilities

  • Office Administration
    • Ensure proper operation and maintenance of office facilities, fixed assets, and office organization.
    • Process monthly bill payments, including rent and utilities.
    • Maintain the Petty Cash Fund and prepare liquidation reports.
    • Manage general administrative tasks and provide direct support to program heads and teams.
  • Procurement
    • Source suppliers/service providers to ensure competitive pricing and quality.
    • Obtain necessary supporting documents, contracts, and pricing details for purchases.
    • Prepare purchase orders and ensure the timely delivery of goods and services.
    • Facilitate travel bookings for staff including airfare, accommodation, and per diem calculation for overseas travel.
  • Inventory Management
    • Conduct regular inventory counts of fixed assets and supplies, identifying obsolete or excess items.
    • Maintain an updated inventory of supplies and anticipate needs by placing and expediting orders.
    • Support the implementation of inventory management systems for efficiency.
  • Compliance
    • Facilitate, prepare, and file SEC requirements, government permits, licenses and accreditations, and non-HR-related mandatory government payments.
    • Manage the annual renewal of government permits, registrations, and mandated payments.
    • Assist the Admin Officer in developing and implementing compliance training programs for staff.
    • Support internal and external audits by providing necessary documentation.
  • Perform other necessary duties as assigned, that are well within the skills and physical capability of the role.

Job Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field
  • At least 1-3 years of experience in office administration, procurement, inventory management, and compliance
  • Strong organizational and time management skills with the ability to prioritize tasks effectively
  • High attention to detail for documentation, compliance filings, and inventory tracking.
  • Excellent communication and interpersonal abilities
  • Proficiency in Google workspace
  • Knowledge of procurement processes and best practices
  • Familiarity with inventory management systems is an advantage
  • Basic financial knowledge for handling petty cash, liquidation reports, and expense tracking.
